A middling review is an opportunity. Acknowledge what worked, and invite the customer to tell you how your venue could earn that 5th star:
Thank you for your honest feedback, Alex. We’re glad parts of your visit went well, and we’re always looking to improve the big day at our venue. We’d genuinely love to learn how we could have made your experience a 5-star one — please don’t hesitate to reach out.
Stay calm, apologize sincerely, and move the conversation offline. Never get defensive — future customers judge you by how you respond:
Dear Michael, thank you for bringing this to our attention, and we’re sorry your experience fell short. Your concerns about the big day are important to us, and we hold our venue to a high standard. We’d welcome the chance to make this right — please contact us directly at [phone/email] so we can resolve this personally.
We’re really sorry to hear this — that’s not the experience we want for anyone at our venue. This isn’t like us, and we’d love the chance to make it right regarding the big day. Please give us a call at [phone/email] and we’ll take care of it. 🙏
